    Reporting to a Supervisor or Manager of Claims, the Administrative Assistant – Claims will be primarily responsible for performing a variety of administrative duties including, but not limited to sorting, opening, distributing, scanning and indexing claims mail, compiling various claims related data and preparing a wide array of related reports to members of management, communicating frequently with vendors and adjusters and administering various claims related processes or databases.  Other essential job responsibilities for this position will include:

    • Receiving, sorting, distributing and scanning claims mail or claims related documents and indexing various documents in ImageRight system.
    • Administering various claims processes including processing of payments, posting monies to claim, returning and voiding checks, printing and matching EOB’s with proper checks, compiling documents and forwarding to appropriate reinsurers, vendors or adjusters.
    • Managing various claims documentation and databases.  May include noting receipt of excess reinsurance reports, entering new vendors, validating both new and existing W-9s for year end 1099 reporting purposes, reviewing demand letters / medical bills and properly identifying and providing appropriate / accurate information to providers, receiving various information to be imported to ImageRight and routing to adjusters in a timely fashion.
    • Gathers and compiles a variety of claims data and prepares various reports for members of management either on a scheduled basis (daily, weekly, monthly, quarterly, etc.) or on an ad hoc basis upon request.
    • Orders and maintains supplies and inventory for claims department as needed.




    • High school diploma or equivalent is required.
    • Minimum of one year administrative experience.
    • Proficiency with Microsoft Office Applications, including Word, Windows and Excel required.
    • Excellent oral and written communication skills needed.
    • Interpersonal skills and the ability to listen with compassion and understanding are essential.
    • Must be able to give great attention to detail.
    • Ability to handle multiple tasks simultaneously.
    • Must have the ability to read, research, identify and make decisions based on guidelines given.
    • Requires the ability to perform basic math calculations (addition, subtraction, multiplication and division.)
